On Peakon, it’s possible to preview employee facing communication from Peakon, which includes:

  1. Survey email 
  2. Survey reminder email
  3. Reactivation email
  4. Low participation email
  5. Surveys
  6. Survey engagement summary
  7. Dashboard invitation email
  8. Digest emails sent to managers
  9. Comment acknowledgement email
  10. Conversation on a comment email

Accessing the preview option

The majority of the preview options are accessed by clicking on Administration > Schedules option in the left menu. A list of all the survey schedules will be shown. Clicking on the green View icon will open up the survey settings. The various tabs shown at the top of the screen will allow you to preview different elements of employee facing communication from Peakon.

1. Previewing survey emails

These are the emails sent from Peakon when the survey round opens. They contain the link to the survey and also show the first question for the employee to answer. 

This email will also contain any customisation that has been made to the subject or to the email text. On the first survey email the grey text box containing any customisation appears before the first question, while on subsequent surveys, it appears after the first question. 

  1. Click on Administration and then on Schedules option in the left menu > select the green View icon to open up survey tabs > select the Email tab
  2. Click on the Preview email icon
  3. Choose either the First survey or Subsequent survey

2. Previewing survey email reminders

Survey email reminders can only be previewed once the survey round is open and data collection has commenced. 

  1. Click on Administration, then Schedules option in the left menu > select the green View icon to open up survey tabs > select the Schedules tab
  2. Click on the drop-down arrow beside the Send reminder icon
  3. Click on the Preview reminder email icon

3. Previewing reactivation emails

Reactivation emails replace the regular survey email and reminder email when an employee has skipped consecutive survey rounds in a row. Note, these cannot be turned off nor can they be customised. 

  1. Click on Administration and then on Schedules option in the left menu > select the green View icon to open up survey tabs > select the Email tab
  2. Click on the Preview reactivation emails icon
  3. Select either the First attempt, Second attempt, or Third attempt

4. Previewing low participation emails

Low participation emails get sent to managers at the same time as the automated survey reminders get sent out. These emails are a reminder to managers that they have missing answers from their team and to remind their team to complete the survey. They can be turned on or off from the manager group within the Access Control section of Peakon.

  1. Click on Administration, then Schedules option in the left menu > select the green View icon to open up survey tabs > select the Schedules tab
  2. Click on the drop-down arrow beside the Send reminder icon
  3. Click on the Preview low participation email icon

5. Previewing surveys

Surveys can be previewed from any of the tabs once you have opened up a survey schedule by clicking on the green View icon. It’s possible to preview how the survey looks in general or how the survey looks to a specific group of employees by selecting a particular segment. 

It is also possible to select the language of the survey the same way as the employee would, only when the survey is allowed to be taken in multiple languages. Survey languages are set on the Survey settings tab.

To preview the survey:

  1. Click on Administration > Schedule option in the left menu > select the green View icon to open up survey tabs > select any tab as they all have a Preview survey option
  2. Click on the Preview survey icon in the top right corner of your screen
  3. Choose either the Preview Survey or Custom Preview option
  4. If choosing the Custom Preview option, select the relevant attribute and segment. 

6. Previewing the survey engagement summary

The survey engagement summary can be turned on or off for a survey schedule. It is a personal summary page that the employee will see at the end of the survey. If enabled, at end of the first survey an employee answers from Peakon, they will receive an introduction page to Peakon. After submitting their second survey, when Peakon then has some trend data on the employee, they will see their personal engagement summary.

  1. Click on Administration > Schedules option in the left menu > select the green View icon to open up survey tabs > select any tab as they all have a Preview survey option
  2. Click on the Preview survey icon in the top right corner of your screen
  3. Choose either the Preview Survey or Custom Preview option
  4. If choosing the Custom Preview option, select the relevant attribute and segment
  5. At the very bottom of the screen you will see an option to preview the engagement summary by clicking on either the first survey or subsequent survey options

If the subsequent summary does not appear, ensure that the summary is enabled from the Survey settings tab and click on Save settings before previewing the survey again. 

7. Previewing the dashboard invitation email 

When granting access to managers to view their Peakon dashboard, they will receive an invitation email from Peakon with a link to their dashboard when clicking on the Notify option from within the employee access control page. 

  1. Click on Administration and Access Control option in the left menu
  2. Select an access control group that has been populated with managers already
  3. Select the drop-down arrow beside the Notify icon
  4. Click on the Preview email icon

8. Digest emails sent to Managers

When enabled, Peakon will send digest emails to managers either during the round if set to automatic, or at the end of the round when set to End of round

It's not possible to preview these emails from within Peakon. For more details on the content of the digest mails, along with an example of how the emails look, take a look at our "Peakon dashboard digest emails" article.

9. Comment acknowledgement emails

In instances where managers have access to comments and the acknowledgement feature, they will be able to acknowledge comments, which in turn will send an email to the employee letting them know that their comment has been acknowledged.

It's not possible to preview these emails in product but an example of what this email looks like can be found below.

Note that the acknowledging managers name will appear as the sender of the email. 

The employee remains anonymous during the conversation.

10. Conversation on a comment - Email

In instances where managers have access to comments and the conversation feature, they will be able to initiate conversations on comments, which in turn will send an email to the employee, containing the manager's reply to the comment. The employee is able to to reply back to the manager's response by clicking on the "Reply anonymously" button in the email.

It's not possible to preview this email within Peakon. Below is an example of how this email looks. 

Note that the manager's name initiating the conversation will appear as the sender of the email. 

The employee remains anonymous during the conversation.
