When clicking on Configure > Schedules option in the left menu, you will be able to open up the survey settings by clicking on the green "View" icon. The “Email” tab allow you to configure the survey email that will be sent to employees. 

Survey sender

Add a name for the survey sender. This name will appear in the sender section of the email and will read “[name] via Peakon”. The survey sender could be the internal name given to your survey campaign or it could be one of your senior leaders, for example. 

If a senior leader name is used, be sure to check with your IT department whether there are any spam filters on your organisation’s email servers that would block mass emails from a certain name being delivered.

Customise subject

Peakon provides the following standard email subject line which is automatically translated into all the languages Peakon support (if allowing surveys to be sent in multiple languages - covered survey settings).

 “Please help us make [company name] a better place to work.”

Customising the subject line removes the automatic translations. This means that customised subject lines are not automatically translated by Peakon, unless localisations have also been added, in which case the localised subject line will be used where Peakon is able to identify the employees language preference. 

To add a localisation to the subject line

  1. Check the "Customise subject" box 
  2. Select "Edit translations"
  3. Select a language and type in the translated subject line
  4. Click on "Update" to save changes

Customise email text

Peakon provides the following email text which is automatically translated into all the languages Peakon support (if allowing surveys to be sent in multiple languages - covered in survey settings).

“We're using Peakon to sample everyone and collect feedback on what's working, and what's not.

Please take a few minutes to fill out the survey!

Thanks!”

Customising the email text removes the automatic translations. This means that customised email texts are not automatically translated by Peakon, unless localisations have also been added, in which case the localised email text will be used where Peakon is able to identify the employees language preference. 

To add a localisation to the email text

  1. Check the "Customise email text" box 
  2. Select "Edit translations"
  3. Select a language and type in the translated email text
  4. Click on "Update" to save changes

Preview options

Preview email 

It’s possible to preview the survey email by clicking on the “Preview email” icon. This will then show the email and any saved customisations. The standard or customised email text is shown in the grey box on the email. The standard or customised subject line is shown in the subject line of the email.

When previewing the email, it's also possible to select the language you would like to preview the email in. Any customisations to the subject or email text will override the automatic translations and the custom language in the subject and text will be used instead.

  • The first time an employee answers a Peakon survey they will be sent the first email
  • For subsequent surveys, Peakon will send the subsequent email

It's possible to preview both of these emails by selecting either the "First email" or "Subsequent email" tabs from within the preview. The difference between the two is that subsequent emails have the email text shown after the first question, while the first email has the text showing before the first question.

Preview reactivation emails

Reactivation emails replace the regular survey email and reminder email when an employee has skipped consecutive survey rounds in a row. Note, these cannot be turned off nor can they be customised.

It’s possible to also preview how these emails look by clicking on the preview option. 

Preview reminder email

It's also possible to preview the reminder email. This email gets sent out in the middle of an open round to employees who have not completed their survey and again ever four days after that until the survey round is closed.

Digest email 

A digest email will be sent to those managers who have been given access to their Peakon dashboard only if there is something to show on their dashboard, new scores, comments, topics etc. 

Automatic

Peakon will check daily to determine if manager dashboards have been updated with new content. If the dashboard contains new content, Peakon will send the manager a digest email. This means that the digest email could be sent as frequently as once a day if the manager is responsible for a large team resulting in daily updates to the dashboard.

At the end of the round, the manager will receive a digest email containing the strengths and priorities, highlighted segments, as well as any topics if any have been generated.

End of round

Peakon will send a digest email at the end of the survey round instead. The digest email will contain highlighted comments, strengths and priorities, highlighted segments, and any topics if they have been generated.

Viewing unsubscribed emails

Once the survey round is live, the email tab will also list the number of employees who have unsubscribed from the survey email. Clicking on the "Resubscribe" icon will resubscribe these employees to the survey email.
